We are currently seeking an Admissions Associate Advisor (Remote and Online) for the Corporate Office of Gurnick Academy. Gurnick Academy is a leading Bay Area private healthcare college offering an extensive variety of nursing and allied healthcare programs such as: Vocational Nurse, Psychiatric Technician and Bachelor of Science in Nursing (RN to BSN pathway) as well as Medical Assistant, Dental Assistant and Phlebotomy Technician and healthcare programs: Associate of Science in Physical Therapist Assistant, Ultrasound Technology, MRI, Radiologic Technology, and Bachelor of Science in Diagnostic Medical Imaging.

Basic Function:

The Admissions Associate Advisor [AAA] supports the Admissions Manager and Advisors in processing and follow-up of admissions lead and prospect generation including assisting with administrative and admissions processes. AAA is considered both a career counselor and initial assessor of student appropriateness for Gurnick Academy programs. The AAA assists in the primary screener for student acceptance through using a combination of tools including interviewing, initial competency test scores, review of experience, and review of prior academic requirements. The AAA will ultimately require the knowledge of each program at their campus and be prepared to offer counsel to prospective students on both the viability of the program for the student and ensuring the students stated goals are in alignment with the career opportunities presented by the program the student is interested in.

  • Prior demonstrated experience with student tracking software/systems
  • Demonstrates a professional attitude to the student population
  • Able to manage student expectations as a result of student union complaints
  • Ability to guide and counsel students

  • Speaks clearly and persuasively in positive or negative situations.

A big plus if you have/can:

  • Marketing experience is preferred
  • Experience with the Student Management System
  • Admissions experience or support
  • Organizational knowledge of educational institutions

Responsibilities:

  • Primary role for AAA is the processing and follow-up of admissions lead and prospect generation – Outgoing calls to include about 40% of the daily work load. Working hours by Pacific Time.
  • Actively seek out and participate in, ongoing admissions best practices
  • Review all web inquiries and call-ins
  • Receive calls from people interested in Gurnick programs and inform them of minimum entrance requirements for the program. Review and call all web inquiries and call-ins that were screened by the Front Desk Representative. Calls are to be made during evening hours and on weekends
  • Schedule admissions appointments for those people who meet minimum requirements
  • Enter everyone who inquiries about the program and as much information about their current situation into the CRM for parallel path activities
  • Primary focus on outbound call volume to prospective students from database
  • Set appointments and tours with prospective students
  • Interview candidates to understand – motive, appropriateness of program for their career objectives, personal ability to manage the program and their existing life circumstances
  • Educate candidates on the nature of the program and its academic demands
  • Clearly communicate program requirements, academic requirements, and documentation needs
  • Update pipeline status of candidates as they move through from introduction/information to enrollment stages of the admissions process
  • Prepare student enrollment report for discussion at weekly campus meeting
  • Receive payments from students and provide receipts – give to Campus Director / Campus Administrative Manager
  • Direct students to Student Services Coordinator or Registrar for transcript requests or other programmatic forms, etc
  • Update GE after entrance exam appointments has been met and call to reschedule any missed appointments. This includes the management of callbacks to prospective students to schedule / reschedule appointments
  • Prepare packets (for campus programs MRI, UT, RT, MA) – Photocopy program info, requirements, fees, disclosures, immunizations for each program.
  • Create student folders and put all necessary documents in a folder, make file labels, and input onto the "Enrolled List"
  • Ensure that GAMA student records/files comply with accreditation and governmental agencies’ rules and policies (ABHES, BVNPT, JRCERT, DOE, BPPE, etc.)
  • Attend weekly staff meetings as directed by the Campus Director
  • Stay up to date on all programs offered by the campus as well as changes in the employment marketplace – including program statistics such as; placement rates, licensure pass rates, and retention rates
  • Set up appointments with Financial Aid after the student has registered for the program (can direct the candidate to government financial aid website for initial information)
  • Participate in scheduled evaluation and goal setting meetings with direct manager
  • Actively seek out and participate in ongoing admissions best practices
  • Other duties/responsibilities as assigned
